School Visits General Information

Everything you need to know when booking your School Visit with Harbourfront Centre.

PLEASE REVIEW THE INFORMATION ON THIS PAGE BEFORE BOOKING. You will be required to confirm you have done so when you register.

All programs are subject to change.

Before Booking

Please have the following information ready when you register:

  • Know the grade level(s) and number of participants (per group).
  • Decide on the duration of your visit: Full- or Half-Day.

Please note Half-Day Only programs are available September to March.

  • Check your school calendar and determine two possible visit dates.
  • Explore our website or brochure to select your program(s).
  • Have your school, office administrator and personal contact information on hand.

Supervision

  • For safety and security, a minimum number of supervisors is required to accompany each group. Teachers and volunteer supervisors are required to always stay with students and are responsible for appropriate student behaviour.
  • Our recommended ratio for supervisors : students is

    Grades K to 3 – 1 : 6

    Grades 4 to 12 – 1 : 8

  • There is no charge for supervisors unless otherwise indicated (i.e. theatre performances).

After Booking

  • Return signed contract and media release form, if applicable.
  • Pay the deposit or submit a Purchase Order number.
  • Arrange transportation: school bus, TTC, Go Transit or walking.
  • Check out the pre-visit activities posted on the website.

Please note: We are currently in the process of updating our pre- and post-visit learning packages. Please check your program page at a later date for more information.

  • Distribute and collect permission forms and fees.

Booking Confirmation

To confirm your booking, please return your signed Booking Contract and deposit within 14 days of receiving confirmation. A $250 deposit is required for all non-TDSB bookings.

For TDSB schools paying through the Purchase Order process, no deposit is required. To confirm your visit, Purchase Orders should be made in the full amount owing.

Changes to your Booking

If a booking needs to be rescheduled, a minimum of 14 days’ notice is required. The deposit will be applied to the new booking date.

Once bookings have been made, additional changes to the visit date or program choice are subject to an administration fee of $50 per change.

Cancellations

Cancellations requested in writing 14 days before the visit date will be cancelled at no charge and any deposit made will be refunded. If the booking is cancelled within 14 days of the original visit date, the deposit will be forfeit and a new deposit will be required for any future bookings.

Failure to confirm your booking is not considered a cancellation, and groups will be charged our minimum fee.

Subsidies

Harbourfront Centre programs are priced competitively as a not-for-profit institution, but further funds may be available to groups in need.

School Visits is committed to removing barriers to allow all students to participate in arts programming, and subsidy amounts can range from $1 – $6 off student fees.

If you want to apply for a subsidy, please indicate so on the Registration Form. Subsidies are available on a case-by-case basis for groups in demonstrated financial need.

Please contact the Registrar for additional information regarding eligibility.

Lunch Info

We strongly encourage participants booked for a full-day program to bring lunch and snacks. Participants will be scheduled a 30-45-minute lunch break depending on program timing. This does not allow participants enough time to purchase lunch off-site.

We do not supply food to participants.

Peanut Awareness

Harbourfront Centre is a peanut-aware building and encourages all participants to avoid bringing nut and nut-related products.

Outdoor Programs

Although every effort is made to modify programs in inclement weather, Harbourfront Centre reminds participants to dress accordingly for all weather conditions as students may be partially or fully exposed to the elements during the day.
