We are currently seeking a highly organized, collaborative and result-driven Project Manager to play a key role in the planning, organization, coordination and successful delivery of all site-related maintenance and infrastructure capital projects envisioned for the organization in the immediate future and beyond.

Summary of Function
Reporting to the Head of Operations, the Project Manager will take on a full range of project management responsibilities, including planning, budgeting, request for proposals, tenders, reporting, and stakeholder communications. This role will lead the development and project management process for Harbourfront Centre capital and operating projects as directed, through planning, organizing, assigning and supervising work, as well as initiating and maintaining contact and leading meetings with trades, consultants, architects and designers.Furthermore, the incumbent will monitor/control construction budgets and costs all while adhering to Harbourfront Centre’s safety protocols.
Duties
- Responsible for multiple project coordination and management of indoor and outdoor structures and venues on our 10-acre campus (theatre, footbridge, roof, main building, etc.), coordinating infrastructure support projects across a variety of assets, including elevators, electrical switchgear, HVAC systems, building envelope upgrades, marine docks, and landscape or power enhancements.
- Single-point accountability for project deliverables based on scope of work while managing multiple stakeholder expectations.
- Procurement Management: Identify project delivery resources required from pre-qualified lists or through individual project qualification process, conduct standard request for proposals, complete bid analysis and recommend resources.
- Identify project risks, develop risk mitigation and contingency plans, and implement action plans to reduce or eliminate project risks.
- Track progress of each project against goals, objectives, approved budgets, and approved timelines.
- Utilize AutoCAD to review, interpret, and extract relevant construction data. Support minor layout changes and liaise with consultants and contractors for specialized expertise.
- Management and tracking of project costs: Develop and maintain project budgets and schedules as required for each project and funding/grant objectives. Validate cost estimates, create the schedule of values for budget and progress billing, reconcile all costs and mitigate budget overruns, review labour and material budgets to ensure they are in line with funding source, and work with the Finance team to ensure all charge backs and invoices are processed on time and within the correct fiscal period.
- Responsible for communication flow and documentation control for all relevant project materials. Maintain and organize infrastructure documentation including full drawing sets and as-built records and provide stakeholders with accurate and timely access to information. Ensure all contracts, request for proposals, tenders, budgets and correspondence are maintained and up to date, with clear communication to all relevant departments.
- Management of third-party resources/teams through all project phases, including concept, schematic, design development, construction and execution phases. Supervision of assigned staff when needed and as appropriate.
- Provide regular progress reports to project stakeholders on all aspects of the project, including safety, quality, budget, schedule, risk, etc.
- Collaborate with internal departments to ensure alignment with Harbourfront Centre’s FY2026/27 Plan pillars of “Delivering Results” and “Business Partnership”.
- Assist the Head of Operations with other tasks of a similar nature as needed and directed.
Requirements
- Minimum of 5–7 years’ experience as a Project or Production Manager in facilities and/or construction. A background in engineering, design or facilities management is considered an asset.
- PMP certification is ideal and preferred.
- Knowledge and proficiency in project management software such as SmartSheet or similar is required, as well as knowledge of AutoCad.
- Post-Secondary education in Construction Management or equivalent is required.
- Must have working knowledge of contract terms and conditions, the ability to read and understand architectural and construction drawings, and fundamental understanding of project financial controls.
- Full “G” class Ontario driver’s license is required.
- Must possess advanced analytical and quantitative skills, yet be a creative thinker with a solution-oriented mindset.
- Proficient knowledge of Microsoft Outlook, PowerPoint, and web-based applications.
- Outstanding relationship-management and communication skills to be able to work closely and collaboratively with a wide range of external and internal stakeholders at all levels.
- Must be highly organized, result-oriented, able to work independently as well as collaboratively, and able to maintain composure and calmness under pressure and tight deadlines.
- Must possess a well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people-management skills.
- A trong work ethic with a strong passion for the arts and client engagement.
- Must be legally eligible to work in Canada on a full-time ongoing basis.
- This role is based in Toronto, as such, must be able to work on site at our lakeside campus.
