Interim Marketplace Coordinator

Currently, we are seeking an Interim Marketplace Coordinator with enthusiasm, imagination, and creativity who can work with the Cultural Engagement team to coordinate and curate vendors that complement Harbourfront’s festival programming, from the Junior Festival in May to the Hot & Spicy Festival over Labor Day Weekend. These activities shall include but not be limited to budget management, presentation logistics, production details, accounts payable, and hospitality.

Type of Employment: 6- month Contract, 35 hours per week

Summary of Function

An individual in this position must possess creativity and imagination to assess and make judgments on a variety of scenarios. This will enable them to determine the most effective outcomes for the organization, vendors, and audiences. The coordination of other departments and external groups requires extensive interpersonal skills and diplomacy when dealing with diverse groups. It is also essential that the candidate has excellent communication skills (both written and verbal), thorough financial knowledge, and experience building and maintaining partnerships with external organizations. This position requires a flexible work schedule (evenings and weekends).

Duties

• Liaise with marketplace and food vendors, providing vendors with information and access to Harbourfront Centre services
• Manage incoming applications for the Marketplace, Food Labs and Food Trucks
• Reach out to potential vendors to curate a balanced marketplace and a variety of food offerings.
• Create vendor contracts, follow-up with payments and documentation required to run the market and world café
• Closely work with Security, Operations, and grounds Departments to ensure the smooth operation of the world café and markets
• Ensure Harbourfront Centre and City of Toronto rules and regulations are adhered to by vendors
• Ensure vendor issues are quickly resolved
• Works within the budget provided by the Director of CE to produce the program, considering both revenue generating projects as well as expenditures as per the approval of the Director of CE.
• Reconciles actual event expenditures to contracts to ensure accuracy of final payments to and from Harbourfront Centre
• Works towards realizing a revenue target as set mutually with the Director of Cultural Engagement
• Working at the site involves some heavy lifting while standing and walking

Requirements

• Experience with Office 365 suite of products
• This is a position that requires constant travel around the site.
• To be both proactive to potential challenges and diplomatic with a variety of stakeholders
• Weekend and evening work beginning in May.
• This role is based in Toronto. A hybrid model of work-from-home and work-on-location could be considered.
• Must be legally eligible to work in Canada. Non-Canadian applicants must have a valid employment Visa and proper documentation. authorizing their ability to work in Canada on a full-time basis.
