We are currently searching for a detail-oriented, proactive, and highly organized Assistant Manager, Events to support The Power Plant’s event planning and execution, ensuring exceptional experiences for the public, donors and sponsors.
Position Title: Assistant Manager, Events
Reporting to: Head of Development
Direct Reports: Interns and volunteers
Type of Employment: Full-time, 35 hours per week
Compensation: Annual salary of $59,000 to $65,000, plus a comprehensive benefits package

Location: Toronto. Hybrid work environment (onsite 4+ days per week)
SUMMARY OF FUNCTION
The Assistant Manager, Events is responsible for assisting with the planning and execution of a wide range of events, including fundraising initiatives, exhibition openings, donor receptions, sponsor hospitality events, and venue rentals. The role requires meticulous organization, attention to detail, and strong communication skills to ensure the successful delivery of events that engage The Power Plant’s supporters and audience.
DUTIES
- Support the Head of Development in planning and executing major fundraising events such as Power Ball, gala dinners, and donor engagement activities.
- Assist in organizing seasonal exhibition opening events, including patron dinners, Members’ previews, public openings, and special hospitality events.
- Coordinate event logistics, including venue setup, audiovisual requirements, catering, permits, security, and staffing.
- Maintain detailed event plans, budgets, guest lists, and production schedules to ensure seamless execution.
- Liaise with vendors and service providers, negotiating contracts and ensuring all deliverables are met.
- Assist with volunteer and intern coordination, including recruitment, training, and on-site supervision.
- Track event expenses and revenue, ensuring accurate financial reporting and adherence to budgets.
- Support sponsorship fulfillment by ensuring that sponsor benefits, recognition, and engagement opportunities are delivered.
- Coordinate invitations, RSVPs, and guest communications, ensuring a high level of professionalism and accuracy.
- Provide on-site support during events, overseeing logistics and troubleshooting any issues that arise.
- Conduct post-event evaluations, gathering feedback and identifying areas for improvement.
- Assist in developing marketing and promotional strategies for fundraising and institutional events in collaboration with the marketing team.
- Support venue rental activities by liaising with prospective clients, preparing rental agreements, and coordinating logistics.
REQUIREMENTS
- Minimum three years of experience in event planning, preferably in a cultural or non-profit environment.
- Strong organizational and project management skills with the ability to multitask and meet deadlines.
- Excellent verbal and written communication and interpersonal skills to liaise with diverse stakeholders, including donors, sponsors, vendors, and internal teams.
- Experience working with volunteers and committees is an asset.
- Ability to work flexible hours, including evenings and weekends, as required for events.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams).
- An understanding of and passion for contemporary art is desirable.
- Must be legally eligible to work in Canada. All international applicants must have a valid employment visa authorizing their ability to work in Canada on a full-time, ongoing basis. We are unable to sponsor employment visas.
