We are currently seeking two diligent, organized, reliable and collaborative Site Operations Coordinators to support the year-round day-to-day operations of our 10-acre site as it relates to custodial services, site maintenance and repairs, landscaping, waste management, event setups/tear-down activities, and skating rink operation (during the winter months), assisting the Site Operations management team in driving operational excellence, and contributing to making our 10-acre campus a beautiful, welcoming and engaging place to visit.

Hours of Work: 35 hours per week, with a work schedule from Thursday to Monday (inclusive of weekends) covering morning shifts (from 7:00 am to 3:00 pm) or afternoon shifts (from 1:00 or 2:00 pm to- 9:00 or 10:00 pm), subject to change based on operational needs.
Compensation: Annual salary of $57,000 – $62,000, plus a comprehensive benefits package
Location: On-site at our Toronto lakeside campus
Duties

Under the direction of the Senior Manager, Site Operations, assist in the planning, organization and supervision of the indoor and outdoor site operations activities as required to maintain our 10-acre campus clean, in good working order, and welcoming to visitors and employees.

Coordinate the communication between Harbourfront Centre and our contracted custodial services provider to determine/create appropriate work schedules that meet our required needs based on site activities and events.

Assess the work being performed by our custodial services provider to ensure that it meets our expectations and service standards. Conduct routine site inspections and audits to assess cleanliness and identify areas requiring improvement. Where service issues are noted, implement corrective actions to ensure that the service delivery meets contractual obligations.

Act as the main point of contact between the Site Operations team and internal/external stakeholders to coordinate venue and space setup/takedown for events, programs, and activities. Conduct interdepartmental meetings to ensure alignment on site needs and event requirements, ensuring that required set-up/tear-down support is provided efficiently and in a timely manner.
- Prepare and distribute weekly event diagrams.

Create work schedules and daily and weekly to-do-work lists for the entire Grounds team and Rink Operations staff (during winter months), adjust timesheets as needed based on actual hours worked, and approve/authorize them within the timelines to our bi-weekly pay schedule to ensure that staff get paid.

Ensure that all workers (our own Grounds and Rink Operations staff, as well as the custodial services provider’s) are aware and knowledgeable on the safe handling of chemicals, cleaning procedures, event setup/teardown protocols, and all other safety-related information as per the duties being performed, maintaining and enforcing health and safety standards in all work conducted.

Ensure that all employees are given the necessary tools to perform their duties (such as personal protective equipment, small tools etc.) and complete requisition forms as required for such tools.

Observe and assess that the work being performed by Grounds and Rink Operations staff is in line with their daily assigned tasks and to the expected performance standards. Provide guidance, coaching, feedback and training to staff as needed to ensure optimal performance and support Team Leader(s) to ensure that daily work production requirements are met in a safe and high-quality manner.

Enforce departmental and organizational policies and procedures and provide training to staff as needed to ensure adherence and compliance.
- Monitor equipment and ensure timely maintenance and repairs, maintaining accurate records.

Manage inventory levels, ensuring supplies are procured on time while overseeing purchase orders and invoice processing to maintain budget control and financial accountability.

Participate in hiring activities alongside the Senior Manager, Operations.

Review and analyze existing operational protocols, procedures and performance metrics and recommend revisions with a mindset of continuous improvement to enhance productivity and efficiency.

Assist in the preparation of departmental budgets and capital requirements.

Perform other duties of a similar nature and assist on special projects as required.
Requirements

3+ years of experience in a coordinator or supervisory role within a commercial cleaning, custodial operations, grounds operations or event space setup area.
- Strong organizational skills, with a keen attention to detail.
- Strong interpersonal and communication skills to be able to work collaboratively with various stakeholders and to provide constructive feedback relating to performance and/or to address issues that require solutions and/or improvement.

Proficiency in Microsoft Office (Word, Excel, Outlook, Power Point). Experience with work scheduling software is desirable.

Working at Heights and First Aid/CPR certification is desirable, as is Forklift and Scissor lift experience.

A Class G Ontario driver’s license with 3 years’ experience is desirable.

Must be legally eligible to work in Canada on an ongoing full-time basis.
