We are currently seeking an experienced and results-driven Donor Programs Officer to efficiently support the Development department’s operations, both administratively, and with a focus on maintaining positive donor and member relationships, and diversifying and growing funding contributions. The ideal candidate is an excellent communicator who possesses extraordinary organization skills, the keenest eye for details, and great interpersonal skills to build positive relationships.

 

Position Title: Donors Programs Officer
Reporting to: Manager, Development
Type of Employment: Full time, 35-hour work week
Location: Toronto

 

Summary of Function

As part of the Development team, the Donor Programs Officer is responsible for contributing and supporting all administrative tasks including ongoing data entry, reporting, auditing and system maintenance for the Development department with a focus on donor programs and membership. The Donor Programs Officer will also be responsible for project-based tasks, data extraction, building and maintaining relationships with donors. Under the leadership of the Manager, Development, the Donor Programs Officer will diversify and grow funding base.

 

Duties

  • Assist the Development department in the planning and execution of membership and fundraising events, hospitality and stewardship.
  • Build relationships with annual and mid-level donors through the entire donor cycle.
  • Contribute to grant reporting, management of budget, invoicing, accounts receivables, manage certain contracts and vendors.
  • Ensure all Letter of Agreement benefits are tracked and fulfilled for every donation.
  • Contribute to comprehensive solicitation strategies for The Power Plant including prospect identification, personalized solicitation, sponsorships, and stewardship.
  • Conduct Membership/donor programs renewals and patron follow –up phone calls.
  • Research potential funders including foundations and corporation.
  • Develop donor cultivation events and oversee donor stewardship.
  • Maintain engaged, motivated and loyal Members/donors.
  • Provide support to the Development Department on related special events.
  • Maintain the integrity and accuracy of Development data in the CRM system.
  • Oversee and analyze donor data to develop strategies for renewal and growth.
  • Monitor and maintain current fundraising activities including analysis of activities and preparation of reports with a focus on memberships/donors and monthly operations of the Development team.
  • Contribute to the annual planning and budget for fundraising based on organization’s short term and longterm needs.
  • Ensure the timely accurate intake and processing of gifts and membership orders including the creation, signing and mailing out of membership notices and packages.
  • Support administrative tasks related to the planning and execution of Membership /Donor related items including events and members-only activities.
  • Take part in the development of grants and program initiatives in collaboration with the Manager, Development and with the Grants & Foundations Officer.
  • Maintain/facilitate the management of the database including the entering of new records and updating of existing records, tracking of lost donors, issuing of receipts and thank you letters.
  • Prepare regular reports for the Executive Lead and other senior staff/Board as required.
  • Provide immediate support within and on behalf of the Development Department as needed.
  • Manage highly confidential financial information.
  • Perform other duties in support of the Development department as required.

 

Qualifications & Requirements

  • 3 – 5 years of experience in fundraising or equivalent combination of education and experience.
  • Demonstrated success building, cultivating and stewarding new relationships.
  • Previous experience in a Development, membership, donor administration or operations role, or a position that liaises with multiple departments is ideal.
  • Success in driving results by working collaboratively and cooperatively with staff and volunteers.
  • Strong work ethic.
  • Experience in documenting and reporting on membership campaigns is an asset.
  • Excellent data entry and computer skills (Microsoft Office, desktop publishing and database programs).
  • Familiarity with CRM software such as Raiser’s Edge, Tessitura, Salesforce etc.
  • Superior organizational, planning and record keeping skills with attention to detail.
  • Excellent analytical and research skills.
  • Ability to maintain patron confidentiality.
  • Highly effective writing and communication and interpersonal skills to deal tactfully with a variety of donors, stakeholders and individuals at all levels of the organization, including the ability to build and maintain relationships with departments.
  • Ability to build strong relationships with new people and organizations.
  • Proven ability to work in a collaborative team environment as well as independently.
  • Goal-oriented, innovative and driven; at times handling multiple competing priorities.
  • Enthusiastic and creative with a positive attitude.
  • Ability to work flexible schedule; occasional evening work at events will be required.
  • An understanding of, and commitment to The Power Plant’s mission and values.
  • Prior experience at an arts organization in the not-for-profit sector is an asset.
  • Must be legally eligible to work in Canada. All international applicants must have a valid employment Visa authorizing their ability to work in Canada on a full-time, ongoing basis.
  • This role is based in Toronto. Remote work from home is currently in place, however the candidate must be able to work on site at our downtown lakeside gallery as needed, and when a return-to-work directive is in place.
  • The Power Plant recognizes its heightened duty to protect employees from health and safety risks during the current pandemic.
